Helpful ICC Budgeting Hints
- Fall term budgets are due Friday, October 13th, 2006 by 5:00pm in SU 312 or on the Assistant Club Advisor's desk in the Student Leadership Center.
- ICC has developed the following guidelines to be used in allocating funds to student clubs and organizations
- ICC will not normally fud routinely occuring operating expenses
- Clubs may request up to $400 per year for travel expenses, including:
- Food eaten while traveling
- Transportation costs
- Lodging costs
- Registration costs
- $50 for "pizza parties" once a year. These constitute:
- The payment of food used specifically for recruitment
- Events must be open to the entire student body
- No alcohol
- When granting funding, the following will be considered:
- On-campus events, projects, and programs
- Benefit-to-cost ratio (i.e. those events and programs which serve the greatest number of students)
- Budgets that are late are assessed the following penalty:
- 10% off for budget up to one week late
- 20% off for budgets between one and two weeks late
- Budgets more than two weeks late will not be considered at all
- The annual budget will be used as a guideline to make allocation decisions. No action will be taken on this budget.
- A quarterly budget request form must be filled out for each event that you are requesting ICC funds.
- Quarterly budgets will be reviewed in the order they were received by the Associate Director for Multicultural and Student Activities.
- When a quarterly budget is introduced to the council, five minutes per budget request or a maximum 15 minutes for all requests from one group will be allocated for the club representative to present the budget and the council to ask questions.
- If an organization's representative is not in attendance, the budget cannot be considered and will be moved to the bottom of the list.
- Organizational representatives should be able to answer questions knowledgeable about their events at the council meeting when funds are being requested.
- After the presentation and discussion, a motion will be made and a vote will be taken.
