Desktop Guide to Using Audix VoiceMail Messaging
Logging In To Audix
Dial 2-6000 from your on-campus phone (must be a touchtone telephone set). When calling from off campus, dial 552-6000. Enter your 5-digit extension number, then the # sign. You can just press # if calling from your own phone on campus. Enter your password, then the # sign. You will be given a default password to use the first time you log in.Recording your Name - Your name will be recorded in system announcements that you and others will hear.
Log in to Audix, and press 5. You may listen to the selections or press 5 again to recording your name. Listen carefully to the instructions then say your name when prompted. You may record again by pressing 1 or press # to approve.When you log in to Audix for the first time, you will be guided directly into this activity.
Recording your personal greeting
Log in to Audix. Press 3 to select the Personal Greeting Activity. Press 1 to record. Speak your greeting. To review your message press 1,2,3. To rerecord press *D and 1. Press # to approve. Press "Y" to select your personal greeting.Audix now gives you the option of having/recording 4 personal greetings. You can use one for on campus calls, one for off campus calls, and one for out-of-hours calls, leaving the fourth for a message that perhaps you only want to activate when
You may hang up or go back to other Audix options.
Creating your password
This must be a minimum of 4 digits, up to 15. The more digits, or combination of letters and number, the more secure is your voicemail box. Also, see "Password Tips" under next header.
Log in to Audix. Press 5 to select the Subscriber Administration activity. Listen to the options, or press 4 for changing your password. Enter your new password, then press #. Reenter your new password for confirmation and press # again.Password Tips
The system will not allow:
Consecutive digits. For example 3333* For the one exception see "Using a Guest Password" below. Ascending or descending digits, e.g. 1234 or 4321.Avoid obvious passwords.
For example your extension or reverse extension. The current year. An identification number or office number.Using a Guest Password
To save time, you can leave messages directly in another user's mailbox. Dial Audix, then enter the extension of the person you are calling, and enter "4444" - the guest password - at the prompts.
You can also transfer calls into another person's mailbox by dialing 2-600, entering their 5-digit extension, and using "4444" as the password.
Getting Your Messages
Every incoming message consists of two parts: the header and the spoken message. The header tells you what kind of message is waiting (call-answer or voicemail), and the time and date of delivery. If the message originated from an extension on the OUS network, the header will also contain the name or extension of the sender.
Log in to Audix. Audix will tell you how many new messages you have. Press 2 to listen to your incoming messages. Audix will read you the first header. Press 0 to listen to the message. If you want to skip this message now and save it until later press the # key to skip past it. Audix will move the message from the new category to the unopened category and read the next header. If you wish to keep the message in the new category, press **H. Then press 0 to listen to the content of the next message.Press *D to delete the message, or press # to save the message and skip to the next header.
When you delete a message, Audix automatically skips to the next message's header.
If you delete a message in error, it can be restored by immediately dialing **U. (Even if the next message has started playing.)
Sharing a Mailbox
If, after hearing the header or first few words of the message, you determine that the message is actually for the person with whom you are sharing the box, press **H (as above) and Audix will keep the message in the "new" category so the message-waiting light will stay on. By pressing **H, the system reactivates the message-waiting light and your associate can tell there is another message.
Automatic Message Scan
You may listen to all message headers and/or messages at the touch of two buttons.
Once the scanning begins, it is not necessary to press a button until the playback is complete. You may respond to or delete a message while in the scanning mode.
- Log in to Audix.
- Press 7 to Select Automatic Message Scan
- Press 1 to listen to headers and messages.
- Press 2 to listen to headers only.

To Respond to Incoming Messages
You can respond to incoming messages in several ways. Listen carefully to the message header, which may contain the name of the caller, just the extension number, or no information about the caller at all (just the time and date of the call).
To reply immediately with a Voice Mail message without attaching a copy of the original message.
- Listen to the message.
- Press 1, 7 to reply to the caller or sender without attaching the original message.
- Record your message.
- Press the # sign twice to stop recording, approve, and send immediately.
To forward your messge with a comment:
- Listen to the messge.
- Press 1,2 to begin recording.
- Record your comment.
- Press # to stop recording and approve our comment, or press 1,2,3 to review your comment.
- Enter the recipient's address, then press #.
To call back immediately without first hanging up:
- Listen to the message.
- Press 1 to respond.
- Press 0 to call the sender and AUDIX will automatically place the call.
- After scanning messages, AUDIX will return to playing the old messages.
Using a Guest Password
To save time, leave messages directly in another user's mailbox. Dial AUDIX, then enter the extension of the person you are calling, and "4444" - the guest password - at the prompts.
You can also transfer calls into another person's mailbox by dialing 2-6000, entering their extension, and using "4444" as the password.
MAILING LISTS
Mailing lists can be created so you can record ONE message to be delivered to a GROUP of people at the same time. The maximum number of people in ALL lists is 50. If you need additional capacity, contact the Telecommunications System Administrator, ext 2-6300.
To Create a Mailing List
- Log into AUDIX.
- Press 5 select the Subscriber Administration activity.
- Press 1 to select the list administration activity.
- Press 1 to create a mailing list.
- Enter list ID (which is whatever digits you want to assign to the list) and press the # sign.
- Enter each extension on your list followed by the # sign.
- Repeat step 5 until your mailing list is complete.
- When finished addressing press # to approve your list.
To Review or Modify a List
- Log in to AUDIX.
- Press 5 to select the Subscriber Administration activity.
- Press 1 to select the list administration activity.
- Press 3 to review or modify a list.
- Enter the list owner's extension. For your own list, press #.
- Enter the list ID number and press #.
- AUDIX will start repeating each name on the list.
- To delete a name: Press *D.
- To skip a name: Press #.
- Press 1 to add more names to the list.
- Press Y to change the status of your list from its current status (public or private) or press N for no.
- Enter each new extension and then press #.
- To review from the beginning press *1.
