Information for Departing Employee
On the day of your departure (last day of employment with SOU), your accounts will be deleted and all your files will be removed unless a different arrangement has been made. As a way of helping us clean up your old files, and to make sure the files needed by other people after you leave don’t get lost, please do the following before your leave:

Clean up your drives (F: , C: , G:), and other shared departmental directories and folders.
- Go through your network directories and delete files that are no longer needed by anyone.
- Save files that you want to take with you onto a floppy, zip or CD disk. Please keep in mind copyright and intellectual property rules. Refer to the Acceptable Use Policy
- Move files to your department’s G: drive that may be needed by other people after your departure.

Sharing your password with anyone is a violation of SOU’s Acceptable Use Policy. Your password won’t work after your last day of work. Do not give your password to anyone, instead delete and move files as instructed above.

If Blackboard files must be retained, contact Bob Wright or the Faculty & Staff Help Desk.

If you wish to retain any of your email messages, first delete messages you don’t want anymore then forward messages to a personal email account or print them out.

If you have a cell phone, turn it in to your office manager.

If you have a VMS account, go through your VMS directories and other shared departmental VMS directories and delete files that are no longer needed by anyone. Move files to a shared departmental VMS directory or to another individual’s VMS directory if these files may be needed by other people after your departure. For instructions on how to delete or move VMS files, please call the Faculty & Staff Help Desk at 2-6900.
- Fill out the attached form, sign it, have your Dean or Department Head sign it, and return it to Information Technology.
