GroupWise Preferences

Macintosh

You access the preferences by selecting Preferences from th Edit menu, just as you did in GroupWise 4.1.

 

The main Prefernces window now looks exactly the same as the Windows version.

 

Clicking Environment in the prefences window brings up the Environment Preferences. This page has a popup menu which will access the different screens for all of the enviroment options.

 

General Preferences

View Options

Read next after accept, decline or delete
Opens the next unread message after accepting or declining an appointment, or deleting a message.
Open new view after send
Opens a new, outgoing, message window after you send a message.

Refresh Interval

The default is to refresh every minute.

Default Action

Sent Items

Open Item:
When you double-click a sent item it will open the message.
Show Properties:
When you double-click a sent item it will show its properties (status information).

Attachments

View attachments:
When you open an attachment it will display it in the built in viewer.
Open attachments:
When you open an attachment it will launch the program that created that attachment (ie: a word processor) and open the attachment in that application.
 

View Options

This is where you set your default views for new mail, appointments, etc. You can also choose to always read mail using your default view, overriding whatever view the sender used when sending the message.

Cleanup Options

Depending on how you like to manage you mail messages, you can automate most of the cleanup process. By default you have to manually archive your messages, but you can set your preferences to auto-archive your messages. Be sure to go through your Archive from time to time and clean it out,as well.

Auto-Archiving works best if you maintain a "clean" mailbox. The best way to do that is to deal with new messages right after you read them. If you know you don't need to keep the message then delete it right away. If you know you do want to keep it then move it into a folder right away. Keeping less than 100 messages in your main In Box will keep GroupWise running faster. Messages moved into folders will also be Auto-Archived if you set Auto-Archiving in your Cleanup Preferences. Your Archive will maintain your Folder structure the same as your In Box.

Cleanup Options - Recommended Settings

Mail and Phone
These settings affect your mail messages.
The default is to Manually Delete and Archive
We recommend that you set these to Auto-Archive after 60 days
Note: This method automatically archives items that have been sitting in your Mailbox or Cabinet Folders for 60 days. You can make this number of days whatever you feel is best. We recommend setting it between 14 and 90 days.
Appointment, Task, and Note
These are your Calendar items.
The default is to Manually Delete and Archive
You can also set these to Auto-Archive if you need to be able to refer to your old appointments.
Most people will find that Auto-Delete after 30 or 60 days works well.
Empty Trash
This controls how long messages sit in your trash from the time you delete them until they are purged.
The default is Automatic after 7 Days.
This is also the recommend setting.

 

File Location

The important setting here is the path to your Archive. For Macintosh users it should be the SYSTEM folder of your Home Directory.

Security Prefernces

Click on the Security button in the main Prefrences Window will birng up the Security Preferences page. The popup menu on this page has options for:

Password
Notify
Proxy Access
Signature
 

Password

Changing your Password

You will need your old (actually current) password if you have one set. Type in a new password (remember GroupWise passwords are case sensitive) hit TAB and type it in again exactly the same.

 

Notify Options

This is where you subscribe to notification. You can also choose to be notified of mail for other users for which you have Proxy Access (see below).

 

Proxy Access Options

This is the access list of people who can view your mail or calendar through the proxy feature.

By default "Minimum User Access" is set to no access. If you change any of these settings you are granting rights to all users.

To add a user to your Proxy Access List, type in their name or click the icon to look up a user in the Address Book, and then click "Add User".

With a user name highlighted check off whatever access you wish to grant that person.

 

Signature

GroupWise 5 lets you define a signature and decide how you want to add it to your messages.
