Setting up Proxy access in GroupWise

Use Proxy to manage another user's Mailbox and Calendar. Proxy lets you perform various actions, such as reading, accepting, and declining items on behalf of another user, within the restrictions the other user sets. Managing another user's mailbox requires two actions: first, the owner of the Mailbox must give you access; and second, you must place the owner's name in your Proxy List.

Step 1. Give access to your GW account
 

1. In GroupWise, go to Edit> Preferences> Security. Change the tab to "Proxy Access.

2. Granting Proxy Access to other people.


  • Enter the person's name or select them from the Address Book
    by clicking the "book" button on the right side of the "name" box.
  • Click the "Add User" button.

You use these settings to grant other people access to your mailbox. Normally the settings for "Minimum User Access" will always be blank. Warning! If you check any of these checkboxes while "Minimum User Access" is highlited you will be granting rights for anyone in the GroupWise system to view your mailbox. Don't check any of these unless you're sure it's what you want to do.

3. Give proxy rights.

 

  • Highlight the person you just added (see warning in step 1).
  • Check the checkboxes for the level of access you want to give.
  • Warning! If you give other people access to write messages from you, the message will be indistinguishable from a message you send yourself. The recipient of such a message will have no way of knowing that another person actually sent the message for you.
  • Click "OK".

Step 2. Adding someone to your proxy list
 

1. Locate and click on "Proxy" button

  • go to the lower left corner of GroupWise and click on the button that looks like a little man.
  • Click on the word "Proxy...".

 

2. Select the name of the person you want to Proxy to.

  • Type the name of the person you want, or click the "book" button on the right side of the "name" box to search the address book.
  • Select the name of the person who has granted you rights to their account by pressing "OK".
  • If you have been granted rights by the person whom you are trying to proxy, a message will come up letting you know that you have been granted access. If you were not given rights ahead of time, it will tell you that you are denied.

3. Switching between your account and the proxy account

  • When you want to switch back and forth between your account and the proxy account click on the little man in the bottom left corner of GroupWise.
  • Click on the name of the other account.
  • A new GroupWise window will open with the Proxied account.
  • The Proxy will remain until you delete it from the list, even if you close GroupWise.
