Scheduling appointments in GroupWise using Busy Search

The Busy Search option in GroupWise is a valuable tool for determining when other people have available time for a meeting. It is especially useful when several people with different schedules must attend the meeting. Busy Search will allow the person scheduling the meeting to see when the recipients will be available without needing proxy access to their calendars.
   
1. From GroupWise click "New Meeting".
2. Fill out the names of the people who will be invited to the meeting. The names will come from the Novell GroupWise Address Book. Hit "Enter" between names

3. To check to see when everyone is available, click on the button "Busy?"

A screen will come up that shows when all involved parties are busy.

4. By clicking on the "Auto Select" button, a cursor will move across to all of the times where all parties will be available for a meeting. Each subsequent time you press it the cursor will move to the next time everyone will be available. It will even check the following days.

The white space indicates when everyone is available.

5. Press "OK" when you find a time that works for everyone

Warning: Some people do not yet use the calendar feature in GroupWise. Please be sure to check with them that they use the calendar, or it will show that they are available where they may have an appointment that is not displayed.
 

You will then be returned to the Appointment.

6. Fill out the rest of the Appointment information. Be sure to check the start date and duration, Place, Subject, and Message. Then click "Send".

7. You will then receive an appointment in your inbox which, when accepted, will fill that slot in your calendar.


Checking to see who has accepted or declined the appointment

There are two ways to check to see whether a person has accepted or declined your appointment.

OPTION 1. Go into the "Sent Items Folder" and look at the properties of the appointment you sent. The recipients will all be listed with their status.

 

  • Go to the View menu and select "Sent Items".
  • Search through the items until you find the appointment that you sent.
  • Double click on the item to view "Properties". The Appointment Properties will show the recipients, who opened it, who accepted it, and who declined it.

 

OPTION 2. Set the Appointment Notification to tell you when the parties have opened, accepted or declined the appointment. The notification will be sent to you in one of two ways: an email, or through notify. You select which you prefer.


1. First go to the "Edit" menu in GroupWise.

2. Select "Preferences…"

 

 

 

 

3. Double click on the "Send" icon.

4. Set the first item to "Appointment"

5. Select "All information"

6. Choose the type of notification you would like under "Return notification". When you press the arrows under the three types of notifications ("When opened", "When declined", and "When accepted"), you will see a list of four different ways you can be notified: None, Mail Receipt, Notify, or Notify and Mail. NOTE: If you select the option "Notify", be sure that you turn on the Notify function of GroupWise.

7. Click "OK" when you have your "Return notifications" set up the way you want them.

8. You must close out of GroupWise and re-enter in order for the new settings to function.

 

Recommended Settings for "Return notification": Set "When opened" to "None", set "When declined" to "Mail Receipt", and set "When accepted" to "Mail Receipt".

If you set the "When deleted" option you will get a notice for three different reasons: 1. the person deletes the appointment without reading it first, 2. the person cannot make the meeting and declines the appointment 3. the person is cleaning out their calendar later and purges old appointments. Keep in mind that you may receive notifications well after the meeting took place.
