Section Organization Assignment


Overview

The purpose of assigning financial organizations to academic course sections is to facilitate revenue and expense budgeting. Assignments are made by linking course sections defined in the Banner Student Information System with the responsible financial organizations defined in the Banner Financial Information System.

Individual course sections are identified in Banner SIS by term codes and course reference numbers (CRN) on the Schedule form (SSASECT). Financial organizations are identified in Banner FIS by organizations codes and effective dates on the Organization Code Validation form (FTVORGN). For an assignment to be made, an organization code must be defined on this form, and it must be active and effective for the course section's term.

The assignments between course sections (term + CRN) and organizations (organization code + effective date) are maintained on the SOU Section Organization Assignment form (CRNORGN). Assignments and missing assignments may be displayed on this form or printed on the Section Organization Assignment or Sections with Missing or Invalid Assignments reports. Once made, section organization assignments are also copied to the Student Data Warehouse where they are stored in the Course Schedule table.

Any Banner user can query assignments on the SOU Section Organization Assignment form (CRNORGN) by term, college, department and subject. However, to maintain or copy assignments, the user must have maintenance access to this form and scheduling privileges for the department as defined on the SOU User and Department Validation form (SOCDUSR).


Accessing Section Organization Assignment Forms Menu in Banner

The Banner Student Information System includes a Department Class Scheduling menu. This menu contains the form you need for making section organization assignments.

  1. Log into Banner.
  2. From the main Banner menu, expand Southern Oregon University.
  3. Expand Faculty.
  4. Expand Department Class Scheduling.
  5. Select SOU Section Organization Assignments (CRNORGN)

Accessing Class Schedule Reports in Banner

The Banner Student Information System includes a Department Class Scheduling menu. This menu contains Section Organization Assignment reports.

  1. Log into Banner.
  2. From the main Banner menu, expand Reports.
  3. Expand Academic Affairs.
  4. Expand Academic Departments.
  5. Expand Department Class Schedule.

Section Organization Assignment Form

You can use the SOU Section Organization form (CRNORGN) to query assignmments, maintain assignments, copy assignments from one term to another and identify sections missing assignments.

The form is divided into two visible blocks of data separated by horizontal lines. The upper block (Key block) contains information that will be used to narrow down the list of assignments displayed in a query or copied to another term. The lower block (Detail block) contains a list of Course Reference Numbers (CRNs) with their assigned financial organization codes.

To make assignments, the user must have maintenance access to this form and scheduling privileges for the department as defined on the SOU User and Department Validation form (SOCDUSR). When assigning an organization to an individual course section (CRN), the form looks up the department associated with the CRN and compares it to the user's department scheduling privileges. When copying assignments from one term to another, the form requires a valid value in the Key block Department field and compares this value to the user's department scheduling privileges before proceeding with the copy.

Key Block

The Key block specifies which term, college, department and subject you are working with and whether you want to copy records to another term. Enter the following information:

Term: The term for which you are querying assignments or the term you want to copy assignments from. This field is the only field in the Key block which is always required. Choose Help/List from the menu bar to view valid codes.

College: The college code for which you wish to query assignments. This field is optional, and it is used for queries only. The value in this field does not restrict data entry in the Detail block. Choose Help/List from the menu bar to view valid codes.

Department: The department code for which you wish to query or copy assignments. This field is optional for a query, but it is required for a copy. For copying records with this department code, you must have scheduling privileges to this department. The value in this field does not restrict data entry in the Detail block. Choose Help/List from the menu bar to view valid codes. If you entered a college code, the list will be limited to departments within the college for the term.

Subject: The subject code for which you wish to query or copy assignments. This field is optional for a query and for a copy. The value in this field does not restict data entry in the Detail block. Choose Help/List from the menu bar to view valid codes. If you entered a college code, department code or both, the list will be limited to correspondingly valid subjects for term.

Copy to Term: To copy assignments to another term, enter a value in this field and choose Block/Next. You can copy all of the sections in a department or a specific subject within a department. You cannot copy at the college level. Choose Help/List from the menu bar to view valid codes.

After entering the Key block values choose Block/Next from the menu bar to move to the Detail block or use the mouse to click into the block to display any assignments that match the Key block values.

Detail Block

The Detail block will list any assignments matching the values in the Key block. The Detail block contains the following information:

CRN: The Course Reference Number for the course section. This field is required. Choose Help/List from the menu bar to display the Schedule Section Query form (SSASECQ) from which you can search for and select CRNs. Choose Duplicate/Item from the menu bar to display sections for the key block values missing assignments.

Subject Code: The subject code for the course section. This is a display only field.

Course Number: The course number for the course section. This is a display only field.

Course/Section Title: The title for the course section. This is a display only field.

Organization Code: The code of the financial organization to be assigned to the course section. This field is required. Choose Help/List from the menu bar to view valid codes for the term in the Key block.

Organization Title: The title for the organization. This is a display only field.

User ID: Person who created or last updated the record. This is a display only field.

Activity Date: Date that the record was created or last updated. This is a display only field.

Use the down and up arrow keys to scroll through the list. To enter new records choose Record/Insert from the menu bar or scroll to the first empty row. Choose File/Save from the menu bar to save any changes you have made. Choose File/Exit from the menu bar to exit the form.

Copying Assignments

You initiate the copy process by providing "from" and "to" values in the appropriate Key block fields and moving to the next block. The "from" fields are Term, Department and Subject (optional). The sole "to" field is Copy to Term. Using these values, the form will copy any assignments that meet one of the following criteria:

  1. If all of the sections for the same subject within the "from" parameters have the same organization assignment, the form will copy that assignment to all of the sections for that subject scheduled in the Copy to Term.
  2. If all of the sections for the same subject within the "from" parameters do NOT have the same organization assignment, then the form will attempt to match sections on course number in addition to subject. In this case, if all the sections for a course number within a subject within the "from" parameters have the same organization assignment, the form will assign that organization to all of the sections matching that subject and course number scheduled in the Copy to Term.

For example, if you are trying to copy all Art section assignments from Fall 2007 to Fall 2008, and in Fall 2007 all of the Art sections had the same organization assignment, then the form will assign that organization to all Art sections in Fall 2008 -- regardless of course numbers. If, however, more than one organization was assigned to Art sections in Fall 2007, then the form will only copy assignments if there is a match on course number as well as subject and all the Fall 2007 Art sections with that course number had the same organization assignment.

After the copy is complete, the form will replace the Key block Term value with the Key block Copy to Term value and execute a query to display the assignments for the new term. The next step is to determine if there are any sections for the term and within the other Key block values that are still missing assignments.

To identify any sections within the Key block values that are missing assignments, choose Record/Insert followed by Item/Duplicate from the menu bar. If there are any sections for the Key block values that are still missing assignments, they will appear in this list of values. You can choose a CRN from this list and assign a financial organization. You then repeat this process until the list of values is empty, indicating that all course sections for the Key block values have been assigned to a financial organization.


Section Organization Assignment Reports

The following reports can be run via the Department Class Schedule menu in the Banner Reports menu.

  • Section Organization Assignment
    Parameters: Term Code, College Code (% for All), Department Code (% for All), Subject Code (% for All)
    This job creates a report of the section organization assignments for the parameter values.
  • Sections with Missing or Invalid Organization Assignments
    Parameters: Term Code, College Code (% for All), Department Code (% for All), Subject Code (% for All)
    This job creates a report of the sections for the parameter values that do not have an organization assignment.
